All members of the PTA, that have been paid members for at least 15 days, shall be allowed to vote at that meeting. As stated in the Local PTA Generic Bylaws, Article 5: Membership and Dues, Section 7.
If voting by ballot, it is critical that no one leave the meeting until the voting results are read. If an election is contested, it may be necessary to vote again if no one candidate receives a majority.
Local PTAs that would like to host meetings virtually, should follow the Local PTA Meeting Guidance for Virtual Meetings which may be viewed on the bottom of this page.
Recording The Election Results In Minutes
EXAMPLE:
Local PTA Bylaws Article 9, Section 1 A, B, & C was read by Secretary Nick Neatly.
Jane Doh, chair of the nominating committee, read aloud the report of the committee and announced that all candidates meet the requirements of the Local PTA Bylaws:
- President – Abby Anyone
- Vice President – Kip Khartoum
- Secretary – Sara Self
- Treasurer – Don Demonstrate
The committee was thanked for its work. President Sample re-read the proposed slate of officers.
President Sample went through the offices of president, vice president, secretary, and treasurer in turn and asked for nominations from the floor for each. None were offered and the president declared the nominations closed. **Nominations from the floor should only be asked for if proper notice was given by a particular candidate at least twenty days prior to the election meeting.
If only one candidate per position:
A voice vote was held, and the slate was elected unanimously.
If more than one candidate for any position:
A ballot vote was held for the office of president and the results were as follows:
Abby Anyone - 12 votes
Sue Someone - 10 votes
Abby Anyone was declared elected as President.
The secretary should record the results of the election and should preserve the ballots cast for each office. It is recommended that the ballots be kept for 30 days.
Note:
Now that your officers are elected they must be listed in MemberHub as officers for the new school year. If you have questions on this- please contact the New Jersey PTA Office at (609) 587-0100 or njpta@njpta.org.
